Insurance Broker CRM in 2027: What AI Must Do for Benefits Teams

Benefits insurance brokers want AI-powered CRM to eliminate manual renewal data re-entry, automate carrier commission statement processing, and handle the growing complexity of ICHRA individual health plans, according to a detailed industry needs-assessment published on 11 September 2026 by Ryan Plourde, Principal and Owner of ForgeXRM, a Microsoft Dynamics 365 partner with over 30 years of CRM experience.

The piece, published on crmsoftwareblog.com, documents four specific pain points that benefits brokers are raising with CRM vendors ahead of 2027. Plourde explicitly notes that the features described are “not feature announcements or roadmap commitments” — some are early ideas, others are under active evaluation. The source is a Microsoft partner, so platform-specific recommendations skew toward Dynamics 365, but the underlying workflow problems apply to any CRM software for insurance agencies, regardless of vendor.

The 4 Workflow Problems Brokers Want CRM AI to Solve

Duplicate renewal data entry. Brokers currently move renewal data manually between spreadsheets and CRM records at the start of each enrollment cycle. The ask is AI that can read an incoming renewal file — from a carrier or employer — and pre-populate CRM fields without human re-keying.

Carrier commission statement normalisation. Every carrier sends commission statements in a different format. Brokers reconcile these manually each month. “The goal should not be for an AI model to quietly decide that a commission statement is correct,” Plourde writes. “Instead, AI could remove repetitive processing while leaving judgment, thresholds, and exception handling under appropriate human control.” The request is bulk processing with human review at the exception level, not autonomous decision-making.

Disconnected task management. Broker workflows involve tasks — follow-ups, open enrolment reminders, compliance deadlines — that sit outside CRM in separate tools. The need is task management embedded directly in the CRM client record so context does not fragment across systems.

ICHRA data model complexity. Individual Coverage Health Reimbursement Arrangements (ICHRA) let employers give employees money to buy individual health insurance instead of offering group coverage. According to HRA Council data cited in the article, approximately 83% of employers offering ICHRA had not previously offered any health coverage. That growth means brokers are managing a new category of client with a more complex data model than traditional group plans — one that existing CRM fields were not designed to accommodate.

Why This Matters Beyond Dynamics 365

“Benefits brokers want technology to absorb more of the repetitive work surrounding the processes they already use,” Plourde writes. The same demand is reshaping every major CRM platform: Salesforce embedded AI agents directly into Agentforce for sales and service workflows; HubSpot and Zoho CRM are adding similar automation layers. The race to handle insurance-specific data — commission statements, enrolment files, ICHRA structures — is one the vertical CRM vendors (AgencyZoom, Applied Epic, Benefitpoint) currently win by default because they ship the data model. The horizontal CRM vendors win on breadth and AI investment.

Microsoft’s move to consolidate its Dynamics 365, Power Platform, and Dataverse roadmap into a single “AI at Work” roadmap, announced in August 2026, reflects this broader shift: CRM vendors are no longer selling workflow tools with AI bolted on, but AI-native platforms that happen to handle CRM tasks.

For benefits brokers evaluating platforms in 2026–2027, the checklist Plourde documents — renewal automation, commission normalisation, integrated task management, ICHRA-ready data models — is the practical test any vendor needs to pass. “The best roadmap ideas often begin with a simple observation: I still have to do this by hand every month. Why?” Plourde writes.
